Adding, suspending and removing accounts

Accounts are added, suspended and removed from one page, filtered by college, course and year so finding a person is a filter rather than a search.

Suspending is not deleting

A suspended account cannot sign in and loses nothing. That is the right answer for somebody who has left mid-year, or a student who needs to be locked out of an assessment window, and it is what stops the bill counting them.

A student's account being edited by their college's admin: name, address, account type and extra time
An account belongs to the college. Suspend it from the Users list; nothing on it is lost.

Who may manage whose account

A college administrator manages the staff and students at their own college, and never their own account, so two administrators cannot remove each other and neither can quietly remove themselves. A module’s owner manages the staff and students they share a module with, and a teacher manages only the students they share a module with.

A site administrator manages every account, their own included, because they are the only ones who can appoint another. What stops the site being locked out is that the last site administrator cannot be removed.

Removing, and what travels with it

Removing an account puts it in the bin rather than destroying it, so a mistake is undoable. What a member of staff owned passes to whoever removed them, so a class does not lose the tasks set for it.

Bookings and records that exist to be a record are deliberately left alone.

Questions people ask

Does removing a student delete their work?
Their files go with the account into the bin, and the record of what happened stays. A restore brings both back.
Do suspended accounts count towards the bill?
Only for the days before they were suspended. A month is charged in the proportion of it the account could be signed into, so an account suspended a third of the way through a month is charged for a third of it.
