DA 5.3: Planning to share data well

This is the first page of the lesson. Read it and have a go at the activities. The rest is in the full lesson.

55 minutes

One click, two hundred names

A college wants a quiz company to build practice tests. A teacher exports 200 student names and marks and emails the file. Nobody asked the students. Nobody wrote down what the company may do with it.

There is a guide for exactly this. It is called the data sharing code of practice.

Key words

WordWhat it means
Personal dataInformation about a living person who can be identified.
Data sharingGiving personal data to another organisation, or letting it see the data.
Code of practiceA practical guide that explains how to follow the law. It is not the law itself.
Impact assessmentA check made before a risky plan starts, to find harm to people and reduce it.
Data sharing agreementA written plan between organisations about what is shared, why and how.
Data subjectThe person the data is about.
Data ownerIn this lesson, the person the data is about. In law they are called the data subject.
Privacy noticeA message that tells people how their data is used.
RightsThings the law lets people do with their data, such as see it or ask to correct it.
Third partyAn outside organisation that is not part of the first two.

The cells students fill in are left blank in this preview.

What the code is

The ICO wrote a code of practice on data sharing. It explains in plain steps how to share personal data and follow the law.

The code is not a law. But the ICO and the courts take it into account. If you ignore it, you will find it hard to show you did the right thing.

Good practice first

The code recommends good practice. Be clear why you share. Share only what you need. Make sure you have a lawful basis. Keep the data safe on its way and when it arrives.

Write down your choices. If something goes wrong, those notes show you took care.
